IP Paralegal (m/f/d)

As part of our growth, we are looking for an IP Paralegal. In this role within the Process and Intellectual Property team, you will be responsible for performing the following tasks:
YOUR TASKS:
- IP Portfolio Administration: Prepare, file, and track IP applications (patents, trademarks, designs) in coordination with internal IP team and outside IP attorneys. Manage deadlines, renewals, annuities, and formalities across multiple jurisdictions. Maintain and update IP management systems and databases, ensuring data accuracy and completeness. Monitor official communications from IP offices and route actions appropriately
- Prosecution and Formalities Support: Assist in patent and trademark prosecution activities, including preparation of forms, powers of attorney, assignments, and supporting documentation. Coordinate filings, responses, and formal requirements with external counsel and foreign associates. Track prosecution status and provide regular updates to IP attorneys and portfolio owners
- Documentation and Record Management: Manage IP-related documentation, including invention disclosures, assignments, licenses, NDAs, and recordals. Support execution, legalization, notarization, and recordal of IP agreements and ownership changes. Ensure proper archiving and version control of IP records and correspondence
- Stakeholder and External Interface: Serve as a point of contact for IP-related administrative queries from internal teams. Coordinate with inventors on invention disclosures, signatures, and procedural requirements. Liaise with patent and trademark offices, outside counsel, and service providers on routine matters
- Reporting and Portfolio Oversight: Generate IP portfolio reports, metrics, and dashboards (e.g., filing status, costs, deadlines, geography coverage). Support budgeting, cost tracking, and invoice review related to IP activities. Assist with audits, due diligence exercises, and freedom‑to‑operate or portfolio reviews
- Process and Compliance Support: Support compliance with internal IP policies, procedures, and governance requirements. Identify opportunities to streamline IP workflows, improve tools, and enhance data quality. Assist in training materials or guidance for inventors and internal stakeholders on IP processes
YOUR PROFILE:
- Administrative and Paralegal studies are required
- Additional training on patent prosecution for paralegals
- Advanced English level (C1-C2). Spanish and/or German are a plus
